Damaged Shipment Guidelines

At one time or another, we've all had an order arrive in less-than-good condition. Unfortunately, it happens. With supply chain challenges across the globe, we have seen an increase in damaged freight in this past year. In order to assure a positive and timely outcome when there are damaged or lost goods - it's important to know what to do, and what not to do in these situations.

To that end, we’ve put together a best-practices checklist for how to assure a claim can be filed for damaged LTL freight and parcel shipments.

Damaged Freight

Inspect all shipments - It is your responsibility to inspect all shipments before the driver leaves. This ensures a successful claim should damages or shartages be discovered.

Do a thorough inspection - Don't let anything else get in the way. Make sure you got exactly what you were expecting to receive. Do NOT write "pending inspection," as the carrier will not honor claims after the fact. Your delivery receipt needs to be signed - with damages or shortages notated on the receipt - before the driver leaves.

Note damages or shortages on BOTH copies of the delivery receipt (your copy, and the drivers copy), and be sure that both you and the delivery driver sign BOTH copies. Carriers will only accept their original delivery receipt as their official document of record. Do NOT write who you believe is at fault - simply state the type and amount of damage.

Take photos - To help make the process go quicker and to have timestamped proof of claims, take pictures of the damage.

Keep the damaged product - Sometimes, the freight company will want to stop in and verify the damaged product in question.
